1. ACCEPTANCE OF TERMS AND CONDITIONS

By submitting a manuscript, abstract, paper, or any form of scholarly contribution to the International Conference on Multidisciplinary Computer Science, Electrical, Business & Literature (ICMCEL 2025), registering for the conference, attending any conference sessions whether in-person or virtually, accessing conference materials, participating in conference activities, or utilizing any services provided by the conference organizers, you ("Author," "Participant," "User," or "You") hereby acknowledge that you have read, understood, fully comprehend, and unconditionally agree to be bound by these Terms and Conditions ("Terms," "Agreement," or "T&C") in their entirety, including all provisions, stipulations, requirements, obligations, restrictions, limitations, disclaimers, and legal obligations contained herein.

These Terms constitute a legally binding agreement between you and the ICMCEL 2025 Conference Organizing Committee ("Organizers," "We," "Us," or "Conference") and shall govern your participation in all aspects of the conference. Your continued participation in the conference following any modifications to these Terms shall constitute your acceptance of such modifications. If you do not agree with any provision of these Terms, you must immediately cease all participation in conference activities and may not submit any materials or attend any conference sessions.

The Conference reserves the absolute and unqualified right to modify, amend, update, revise, or completely rewrite these Terms and Conditions at any time, with or without prior notice, at its sole discretion. Such modifications may include but are not limited to changes in publication policies, venue arrangements, conference format, fee structures, award criteria, review processes, ethical guidelines, participant obligations, intellectual property rights, liability limitations, dispute resolution procedures, and any other aspects of the conference. All modifications shall become effective immediately upon posting or notification, regardless of whether participants have been individually notified of such changes.

2. CONFERENCE MODIFICATIONS AND ORGANIZATIONAL DISCRETION

2.1 Absolute Organizational Authority

The ICMCEL 2025 Conference Organizing Committee reserves complete, absolute, and unqualified discretionary authority to make any and all decisions regarding every aspect of the conference, including but not limited to publication policies, venue arrangements, conference format and modality, session scheduling, participant requirements, fee structures, award criteria and distribution, review processes, technical requirements, safety protocols, and any other conference-related matters.

This authority includes, without limitation, the right to:

  • Modify, relocate, or cancel the conference venue at any time
  • Change the conference from in-person to virtual format or hybrid format
  • Alter conference dates, duration, or scheduling
  • Modify session formats, presentation requirements, or technical specifications
  • Change publication arrangements, publishers, or indexing services
  • Adjust registration fees, payment terms, or refund policies
  • Modify award criteria, prize amounts, or recognition programs
  • Implement additional safety, security, or health protocols
  • Restrict or modify participant access or privileges
  • Cancel or postpone the conference entirely

2.2 Participant Obligations and Compliance

All authors, presenters, and participants are unconditionally obligated to comply with and accept any and all decisions, modifications, changes, or directives issued by the Conference organizers, regardless of the timing, nature, or impact of such decisions. This obligation extends to decisions made before, during, or after the conference and includes compliance with changed requirements even if such changes create inconvenience, additional costs, or other burdens for participants.

Participants acknowledge that conference organization involves complex logistical, technical, financial, and administrative considerations that may necessitate rapid changes or adaptations. Failure to comply with Conference decisions or directives may result in immediate exclusion from conference activities, forfeiture of registration fees, removal from proceedings, and permanent prohibition from future ICMCEL conferences.

2.3 Force Majeure and External Factors

The Conference organizers shall not be held liable for any modifications, cancellations, or disruptions caused by circumstances beyond their reasonable control, including but not limited to natural disasters, pandemics, government regulations, travel restrictions, venue unavailability, technical failures, labor disputes, political instability, economic conditions, or other force majeure events. In such circumstances, the Conference reserves the right to modify any aspect of the conference as deemed necessary for the safety, security, or feasibility of the event.

3. AWARDS, PRIZES, AND RECOGNITION PROGRAM MODIFICATIONS

3.1 Award Program Disclaimer and Modification Rights

The Conference has established a comprehensive awards and recognition program designed to acknowledge outstanding scholarly contributions and support continued research excellence. However, participants must understand that all aspects of this program are subject to modification, adjustment, or cancellation at the sole discretion of the Conference organizers.

Current Award Structure (subject to change):

  • Journal Paper Funding: Top 5 technical papers may receive funding (up to USD 1,000 each, totaling up to USD 5,000) and technical support for potential extension and publication consideration in Scopus-indexed journals
  • Best Paper Awards: Up to six (6) papers may be recognized with Best Paper Awards across various categories
  • Travel & Accommodation Support: Limited support may be available for selected authors
  • Student Author Support: Potential registration discounts and limited travel grants for qualifying student authors
  • Certificates of Recognition: Official certificates for authorship, presentation, and participation

3.2 Absolute Modification and Cancellation Rights

The Conference explicitly reserves the complete and unconditional right to:

  • Modify the number of awards in any category at any time
  • Increase or decrease prize amounts for any award
  • Change award criteria, evaluation methods, or selection processes
  • Combine, eliminate, or create new award categories
  • Modify funding amounts, support levels, or benefit structures
  • Cancel any or all awards at any time, including after announcements have been made
  • Change award sponsors, funding sources, or distribution methods
  • Implement additional requirements or qualifications for award eligibility
  • Modify timelines for award announcement, distribution, or fulfillment

These modifications may be implemented at any time before, during, or after the conference, and participants acknowledge that such changes are within the Conference's absolute discretion and are not subject to dispute or compensation claims.

3.3 Award Fulfillment and Limitations

While the Conference will make reasonable efforts to fulfill announced awards and benefits, participants acknowledge that award fulfillment is subject to various factors including funding availability, sponsor commitments, third-party cooperation, administrative processes, and external circumstances. The Conference makes no guarantee that any specific award will be distributed or that award benefits will be realized within any particular timeframe.

Recipients of awards or benefits must comply with all Conference requirements, conditions, and deadlines associated with their awards. Failure to meet these requirements may result in forfeiture of awards without compensation or alternative benefits.

4. INTELLECTUAL PROPERTY RIGHTS AND LICENSING

4.1 Author Warranties and Representations

By submitting any material to ICMCEL 2025, authors warrant and represent that they are the sole and exclusive owners of all intellectual property rights in their submissions, or that they have obtained all necessary permissions, licenses, and authorizations from all relevant rights holders. Authors further warrant that their submissions do not infringe upon any copyright, trademark, patent, trade secret, privacy right, publicity right, or other intellectual property or proprietary right of any third party.

Authors acknowledge that false or inaccurate warranties regarding intellectual property ownership may result in significant legal liability and agree to indemnify and hold harmless the Conference, its organizers, sponsors, publishers, and affiliates from any claims, damages, or expenses arising from intellectual property infringement or misrepresentation.

4.2 Grant of Rights and Licensing

By submitting materials to the Conference, authors grant to the Conference and its designated publishers, sponsors, and partners a comprehensive, worldwide, royalty-free, perpetual, irrevocable, non-exclusive license to:

  • Publish, reproduce, distribute, and display the submitted materials
  • Create derivative works, compilations, and adaptations
  • Translate materials into other languages
  • Convert materials to different formats or media
  • Include materials in databases, archives, and indexing services
  • Sublicense these rights to third parties as necessary for publication and distribution

This grant of rights extends to all current and future media, technologies, and distribution methods, whether now known or hereafter developed.

4.3 Retention of Author Rights

Authors retain ownership of their original intellectual property and may use their materials for their own scholarly, educational, and professional purposes, subject to appropriate attribution of the Conference publication. However, authors acknowledge that the Conference's publication rights take precedence in cases of conflict or competing claims.

5. REGISTRATION, FEES, AND FINANCIAL OBLIGATIONS

5.1 Registration Requirements and Modifications

All participants must complete the official registration process and pay all applicable fees before gaining access to conference activities, materials, or services. Registration requirements, processes, deadlines, and fee structures are subject to modification at any time at the Conference's sole discretion.

The Conference reserves the right to:

  • Modify registration fees, payment schedules, or fee structures
  • Implement additional fees or charges for specific services or activities
  • Change registration deadlines, processes, or requirements
  • Restrict or limit registration availability
  • Cancel registrations for non-compliance or other reasons
  • Modify refund policies, cancellation terms, or payment conditions

5.2 Financial Obligations and Liability

Participants are responsible for all costs associated with their conference participation, including but not limited to registration fees, travel expenses, accommodation costs, visa fees, insurance, and any additional charges incurred in connection with conference activities. The Conference is not responsible for any financial obligations, costs, or expenses incurred by participants beyond those explicitly promised in writing.

All fees and charges are non-refundable unless specifically stated otherwise in writing. The Conference may modify refund policies at any time, including implementing more restrictive refund terms or eliminating refunds entirely.

5.3 Currency and Payment Terms

All fees are quoted in BDT and USD unless otherwise specified and are subject to currency fluctuation, processing fees, and applicable taxes. Payment terms, methods, and processing procedures are subject to change, and participants are responsible for ensuring timely payment according to current requirements.

6. SUBMISSION AND PUBLICATION POLICIES

6.1 General Submission Requirements

All submissions to ICMCEL 2025 must comply with the highest standards of academic integrity, originality, and scholarly excellence. Authors warrant and represent that their submissions are original works that have not been previously published, submitted for publication elsewhere, or presented at other conferences, symposiums, workshops, or academic gatherings. Authors further warrant that their submissions do not infringe upon any copyright, trademark, patent, trade secret, or other intellectual property rights of any third party, and that they have obtained all necessary permissions, licenses, clearances, and authorizations for the use of any copyrighted material, proprietary information, or confidential data included in their submissions.

The Conference employs sophisticated plagiarism detection software and manual verification processes to ensure the originality and integrity of all submissions. Any submission found to contain plagiarized content, duplicate publication, self-plagiarism, or other forms of academic misconduct will be immediately rejected, and the authors may be permanently banned from future participation in ICMCEL conferences. The Conference reserves the right to conduct post-publication plagiarism checks and to retract any published papers found to violate originality requirements.

6.2 Peer Review Process

All submissions will undergo a comprehensive fast-track rolling double-blind peer review process conducted by internationally recognized experts in their respective fields. The review process is designed to maintain the highest standards of academic rigor while ensuring timely evaluation of submissions. However, the Conference makes no guarantees regarding review timelines, reviewer availability, or the consistency of review criteria across different submissions.

The Conference reserves the absolute right to modify the review process, change review criteria, reassign reviewers, extend or shorten review periods, implement additional review stages, or alter any aspect of the evaluation process at its sole discretion. Authors acknowledge that the review process is subjective and that decisions may vary based on reviewer expertise, preferences, and interpretation of submission quality and relevance.

6.3 Publication Arrangements and Disclaimer

IMPORTANT PUBLICATION DISCLAIMER: While the Conference will make every reasonable effort to facilitate publication opportunities, authors must understand and acknowledge the following critical limitations and disclaimers regarding publication arrangements:

Primary Publication: All accepted and presented papers (including physical attendance, online presentation, long papers, short papers, and workshop papers) will be definitively included in the official ICMCEL 2025 conference proceedings published by Axionis Press, the technical sponsor of ICMCEL 2025. This publication will be made available as Open Access at no additional cost to registered authors, ensuring global accessibility and enhanced citation potential.

IEEE Xplore Digital Library: The Conference proceedings will be submitted for potential inclusion in the IEEE Xplore digital library. However, authors must explicitly understand and acknowledge that inclusion in IEEE Xplore is entirely subject to IEEE's independent evaluation, scope requirements, quality standards, technical specifications, formatting guidelines, content policies, and final approval processes, all of which are beyond the control of the Conference organizers. The Conference makes absolutely no guarantee, warranty, promise, or assurance that papers will be submitted to or accepted for inclusion in IEEE Xplore, regardless of their acceptance for the ICMCEL 2025 proceedings.

Indexing Expectations: All papers published by Axionis Press are intended to be indexed by Google Scholar and similar academic platforms. However, neither the organizers of ICMCEL 2025 nor Axionis Press guarantee indexing, as these services apply their own independent policies and evaluation criteria for inclusion. For papers published in IEEE Xplore, it is important to note that such papers are typically indexed by major academic databases including Scopus, Web of Science, Google Scholar, and others. Nonetheless, indexing by these platforms is contingent upon successful submission to IEEE Xplore and their acceptance of a formal collaboration with ICMCEL 2025. ICMCEL 2025 assumes no responsibility or liability for the inclusion or exclusion of any paper in indexing services such as Google Scholar, Scopus, Web of Science, IEEE Xplore, or any other database.

6.4 Publication Timeline and Process

The Conference will endeavor to ensure timely publication through Axionis Press, typically within one month following the conclusion of the conference. However, publication timelines may be subject to technical constraints, processing requirements, quality control procedures, or other factors beyond the Conference's immediate control. For potential IEEE Xplore publication (if submitted for inclusion), timelines will vary significantly based on IEEE's independent approval and publication policies, which may extend well beyond the Conference's control or influence.

Authors acknowledge that publication processes involve multiple stakeholders, technical systems, and approval stages, any of which may cause delays or complications. The Conference shall not be held liable for any delays in publication or for any consequences arising from such delays, including but not limited to missed deadlines, lost opportunities, or academic or professional impacts.

7. PARTICIPANT CONDUCT AND BEHAVIORAL EXPECTATIONS

7.1 Professional Conduct Standards

All conference participants are expected to maintain the highest standards of professional conduct, academic integrity, and respectful behavior throughout all conference activities. This includes adherence to established codes of academic ethics, professional courtesy in all interactions, respect for intellectual property rights, and compliance with applicable laws and regulations.

Unacceptable behavior includes but is not limited to:

  • Academic misconduct, plagiarism, or misrepresentation of research
  • Harassment, discrimination, or intimidation of any kind
  • Disruptive behavior during sessions or activities
  • Violation of intellectual property rights
  • Non-compliance with Conference directives or policies
  • Behavior that compromises the safety, security, or reputation of the Conference

7.2 Enforcement and Sanctions

The Conference reserves the exclusive right to determine what constitutes unacceptable behavior and to impose appropriate sanctions, including but not limited to:

  • Immediate removal from conference activities
  • Forfeiture of registration fees and benefits
  • Exclusion from future ICMCEL conferences
  • Removal of papers from proceedings
  • Notification to relevant academic institutions or organizations
  • Legal action where appropriate

These determinations and sanctions may be implemented immediately and without prior notice or appeal process.

8. PRIVACY, DATA PROTECTION, AND INFORMATION USE

8.1 Data Collection and Use

The Conference collects various types of personal and professional information from participants, including contact details, academic affiliations, research interests, payment information, and other data necessary for conference administration. This information may be used for conference management, communication, publication processes, future conference marketing, and other legitimate conference-related purposes.

Participants consent to the collection, use, storage, and processing of their information by the Conference and its designated partners, service providers, and publishers. This consent extends to international data transfers and processing in jurisdictions with different privacy laws and regulations.

8.2 Information Sharing and Third-Party Access

The Conference may share participant information with publishers, sponsors, service providers, academic institutions, indexing services, and other third parties as necessary for conference operations and publication processes. Participants acknowledge that such sharing may be necessary for the fulfillment of conference objectives and publication commitments.

While the Conference will implement reasonable security measures, participants acknowledge that no data protection system is entirely secure and that data breaches or unauthorized access may occur despite preventive efforts.

8.3 Communication and Marketing Consent

By participating in the Conference, participants consent to receiving communications related to conference activities, future conferences, and related academic opportunities. This consent includes email communications, newsletters, announcements, and promotional materials from the Conference and its partners.

9. TECHNICAL REQUIREMENTS AND PLATFORM LIMITATIONS

9.1 Technology Dependencies and Requirements

Conference participation, particularly for virtual or hybrid components, may require specific technological capabilities, including reliable internet connectivity, compatible software, appropriate hardware, and technical skills. Participants are solely responsible for ensuring they meet all technical requirements and for resolving any technical issues that may prevent their full participation.

The Conference makes no warranties regarding the reliability, functionality, or availability of any technological platforms, systems, or services used in connection with conference activities. Technical failures, platform limitations, connectivity issues, or other technology-related problems shall not constitute grounds for refunds, compensation, or other remedies.

9.2 Platform Terms and Third-Party Services

Conference activities may utilize third-party platforms, services, or software, each of which may have its own terms of service, privacy policies, and usage restrictions. Participants are responsible for reviewing and complying with all applicable third-party terms and acknowledge that such terms are beyond the Conference's control.

The Conference disclaims all responsibility for third-party platform performance, data handling practices, security measures, or any issues arising from the use of third-party services.

10. LIABILITY LIMITATIONS AND DISCLAIMERS

10.1 Comprehensive Liability Limitation

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, THE ICMCEL 2025 CONFERENCE, ITS ORGANIZERS, SPONSORS, TECHNICAL PARTNERS, PUBLISHERS (INCLUDING AXIONIS PRESS), DIGITAL LIBRARIES (INCLUDING IEEE XPLORE), AFFILIATES, OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, AND REPRESENTATIVES SHALL NOT BE HELD LIABLE FOR ANY DIRECT, INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, PUNITIVE, OR EXEMPLARY DAMAGES ARISING FROM OR RELATED TO CONFERENCE PARTICIPATION OR PAPER SUBMISSION, INCLUDING BUT NOT LIMITED TO:

  • Rejection, delay, or failure of paper publication or indexing in Axionis Press, IEEE Xplore Digital Library, Google Scholar, Scopus, or any other academic database
  • Lost profits, revenue, or business opportunities
  • Damage to professional reputation or career prospects
  • Travel expenses, accommodation costs, or other financial losses
  • Technical failures, data loss, or system interruptions
  • Personal injury, property damage, or other physical harm
  • Emotional distress, frustration, or other psychological impacts
  • Missed deadlines, academic consequences, or lost opportunities

Authors, participants, or any other stakeholders explicitly agree that non-publication, delayed publication, or lack of indexing does not constitute a basis for any legal claim or lawsuit against ICMCEL 2025 or its associated parties.

This limitation applies regardless of the legal theory invoked, whether based on contract, tort, negligence, strict liability, or any other principle, even if the conference has been advised of or anticipated the possibility of such damages or outcomes.

10.2 Registration Fee and Refund Policy

  • All registration fees are non-refundable, regardless of the outcome of paper review, publication status, or indexing status.
  • Participants understand and agree that registration covers conference access, administrative processing, and other organizational costs, and does not guarantee publication or indexing.
  • By proceeding with registration, participants accept this non-refundable condition in full.

10.3 No Guarantee of Outcomes

The Organizing Committee does not guarantee specific outcomes, including but not limited to publication in IEEE Xplore, receipt of awards, or provision of travel support. Participants acknowledge that all decisions are at the discretion of the Organizing Committee.

10.4 Disclaimer of Warranties

THE CONFERENCE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, STATUTORY, OR OTHERWISE. THE CONFERENCE SPECIFICALLY DISCLAIMS ALL IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ANY WARRANTIES ARISING FROM COURSE OF DEALING OR USAGE OF TRADE.

11. DISPUTE RESOLUTION AND LIMITATION OF LIABILITY

11.1 Complete Limitation of Liability and Release

By participating in ICMCEL 2025, registering, submitting papers, or engaging in any conference-related activities, participants acknowledge and agree that:

  • The ICMCEL 2025 Conference Organizers shall have NO LIABILITY whatsoever for any outcomes related to paper submission, review, publication, indexing, or any other conference-related matters
  • Participants WAIVE ALL CLAIMS and potential causes of action against the ICMCEL 2025 Conference Organizers, including but not limited to claims related to paper acceptance/rejection, publication delays, indexing issues, peer review processes, technical difficulties, or any other conference-related matters
  • This waiver extends to all direct, indirect, incidental, consequential, punitive, or special damages of any kind
  • Participants acknowledge that paper publication and indexing (including but not limited to Axionis Press, IEEE Xplore Digital Library, or any other mentioned publication platforms) are subject to external factors beyond the ICMCEL 2025 Conference Organizers' control
  • NO GUARANTEES, WARRANTIES, OR PROMISES are made regarding publication in any specific journal, database, or indexing service, including Axionis Press and IEEE Xplore Digital Library
  • The ICMCEL 2025 Conference Organizers make NO COMMITMENT to secure publication or indexing and are not liable if such publication or indexing does not occur for any reason

11.2 Mandatory Internal Resolution Process

Before pursuing any form of dispute resolution, participants MUST:

  • Submit all complaints, disputes, or concerns in writing to the ICMCEL 2025 Conference Organizing Committee through official channels
  • Allow the ICMCEL 2025 Organizing Committee a minimum of 30 days to review and respond to the matter
  • Participate in good faith in any internal resolution process established by the ICMCEL 2025 Conference Organizers
  • Accept that the ICMCEL 2025 Conference Organizers' decision on all matters is FINAL and BINDING

11.3 Exclusive Decision-Making Authority

Participants explicitly acknowledge and agree that:

  • The ICMCEL 2025 Conference Organizing Committee has SOLE and EXCLUSIVE authority to make all decisions related to the conference, including but not limited to paper acceptance, review processes, publication matters, and dispute resolution
  • All decisions made by the ICMCEL 2025 Conference Organizers are FINAL, NON-APPEALABLE, and NOT subject to judicial review
  • No court, arbitration panel, or external body has jurisdiction to override or modify decisions made by the ICMCEL 2025 Conference Organizers
  • Participants surrender any right to challenge the ICMCEL 2025 Conference Organizers' decisions through legal proceedings

11.4 Waiver of Legal Action

Participants hereby IRREVOCABLY WAIVE AND RELEASE:

  • Any right to file lawsuits, legal claims, or judicial proceedings against the ICMCEL 2025 Conference Organizers
  • Any right to seek monetary damages, injunctive relief, or any other legal remedy from ICMCEL 2025
  • Any right to participate in class action lawsuits, collective actions, or representative proceedings against ICMCEL 2025
  • Any right to jury trial for any matter related to ICMCEL 2025
  • Any claims under consumer protection laws, breach of contract, negligence, or any other legal theory against ICMCEL 2025 Conference Organizers

11.5 Governing Law and Jurisdiction

  • These Terms shall be governed by the laws of Bangladesh
  • Any disputes that somehow bypass the above limitations shall be subject to the EXCLUSIVE jurisdiction of courts in Dhaka, Bangladesh
  • Participants consent to personal jurisdiction in Bangladesh and waive any objections to venue
  • However, participants acknowledge that the ICMCEL 2025 Conference Organizers' internal decisions are NOT subject to judicial review under any circumstances

11.6 Binding Nature and Severability

  • These terms are binding upon participants, their heirs, successors, and assigns
  • If any provision is deemed unenforceable, the remaining provisions shall remain in full force and effect
  • The unenforceable provision shall be modified to the minimum extent necessary to make it enforceable while preserving the Conference Organizers' protections
  • These limitations and waivers survive termination of participation in ICMCEL 2025

11.7 Acknowledgment of Understanding

By participating in ICMCEL 2025, participants confirm they have read, understood, and voluntarily agree to these terms, including the complete waiver of legal rights and the ICMCEL 2025 Conference Organizers' exclusive decision-making authority.

12. GENERAL PROVISIONS AND MISCELLANEOUS TERMS

12.1 Severability and Enforcement

If any provision of these Terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction or arbitration panel, such provision shall be deemed severed from these Terms, and the remaining provisions shall continue in full force and effect. The Conference may elect to replace any invalid provision with a valid provision that most closely reflects the original intent.

12.2 Entire Agreement and Integration

These Terms constitute the entire agreement between participants and the Conference regarding conference participation and supersede all prior agreements, understandings, negotiations, or communications, whether written or oral, relating to the subject matter herein. No modification or amendment of these Terms shall be effective unless made in writing and signed by authorized representatives of the Conference.

12.3 Waiver and Non-Enforcement

The Conference's failure to enforce any provision of these Terms or to exercise any right hereunder shall not constitute a waiver of such provision or right. Any waiver must be made explicitly in writing and shall be limited to the specific instance or occurrence described therein.

12.4 Assignment and Transfer

Participants may not assign, transfer, or delegate their rights or obligations under these Terms without the prior written consent of the Conference. The Conference may freely assign or transfer its rights and obligations under these Terms to any third party without consent or notice.

12.5 Survival of Terms

All provisions of these Terms that by their nature should survive termination of the conference or participant's involvement shall survive, including but not limited to intellectual property rights, liability limitations, dispute resolution procedures, and confidentiality obligations.

12.6 Notice and Communication

All official notices, communications, and modifications relating to these Terms shall be deemed effective when posted on the Conference website, sent via email to registered participants, or communicated through other official Conference channels. Participants are responsible for monitoring official communications and updating their contact information as necessary.

12.7 Language and Translation

These Terms are prepared in English, which shall be the controlling language for all purposes. Any translations provided are for convenience only and shall not alter the meaning or interpretation of the English version. In case of any discrepancy between translations and the English version, the English version shall prevail.

12.8 Time Limitations

Any claims or disputes arising under these Terms must be commenced within one (1) year after the cause of action accrues, regardless of any statute of limitations that might otherwise apply. This limitation period may not be extended or modified except by explicit written agreement of the Conference.

12.9 Electronic Acceptance and Digital Signatures

Electronic acceptance of these Terms through online registration, digital signature platforms, or other electronic means shall constitute binding agreement equivalent to written signature. Participants acknowledge that electronic records and signatures have the same legal effect as traditional written documents.

12.10 Updates and Amendments

The Conference reserves the right to update, modify, or amend these Terms at any time by posting revised versions on the official conference website. Continued participation following such updates shall constitute acceptance of the modified Terms. Participants are encouraged to review these Terms periodically to stay informed of any changes.

ACKNOWLEDGMENT OF UNDERSTANDING AND ACCEPTANCE

MANDATORY AGREEMENT TO ALL TERMS

BY SUBMITTING MATERIALS, REGISTERING FOR, OR PARTICIPATING IN ICMCEL 2025, YOU ACKNOWLEDGE AND CONFIRM THAT:

  • You have READ, UNDERSTOOD, and UNCONDITIONALLY AGREE TO BE BOUND BY ALL PROVISIONS, EACH AND EVERY WORD of these Terms and Conditions
  • You ACCEPT THE ENTIRE AGREEMENT without reservation, modification, or exception
  • You understand that these Terms contain CRITICAL LIMITATIONS on the Conference's liability and YOUR RIGHTS, including mandatory internal dispute resolution, complete liability waivers, and surrender of legal rights
  • You acknowledge that paper submission constitutes your BINDING ACCEPTANCE of these Terms in their entirety

ACCEPTANCE STAGES AND WITHDRAWAL POLICY

These Terms and Conditions become binding through multiple stages of conference participation

Authors will be required to explicitly agree to these Terms at key participation milestones, including:

  • Initial paper submission (through mandatory checkbox agreement)
  • Camera-ready paper submission (for accepted papers)
  • Conference registration and payment

WITHDRAWAL OPPORTUNITIES: Authors who cannot accept these Terms may withdraw their participation:

  • Before the initial submission deadline (if disagreeing during submission process)
  • Before camera-ready submission deadline (for accepted papers)
  • Before completing conference registration

CRITICAL NOTICE: Once you submit your initial paper with Terms agreement, submit your camera-ready paper, OR complete conference registration (whichever occurs first), these Terms become IRREVOCABLY BINDING and withdrawal thereafter is PERMANENTLY PROHIBITED

Authors who proceed with any of these submission or registration stages confirm their complete acceptance of all terms, conditions, waivers, and limitations contained herein

FINAL BINDING COMMITMENT

Submission of your paper after reading these Terms constitutes your IRREVOCABLE AGREEMENT to all provisions herein. This agreement cannot be modified, withdrawn, or challenged once the submission deadline has passed. By proceeding with submission, you confirm your complete understanding and acceptance of all terms, conditions, waivers, and limitations contained in this agreement.

IF YOU DO NOT AGREE WITH ANY PROVISION OF THESE TERMS, YOU MUST NOT PARTICIPATE IN THE CONFERENCE AND SHOULD IMMEDIATELY DISCONTINUE ALL CONFERENCE-RELATED ACTIVITIES.
